This Privacy Policy describes how Impact Housing LLC, doing business as Impact Housing ("Impact," "we," "us"), and its affiliated property-owner companies collect, use, share, and protect personal information through impacthousing.homes, our resident and provider portals, and our housing operations.
The Short Version
- We never sell your personal information, and we show no ads.
- We share resident information with a case manager, referral partner, or payer only under a consent you sign — and you can revoke it.
- We look at your government ID at move-in to confirm who you are, but we never copy, scan, or store it — we record only that it was verified.
- We never publish home addresses or identify who lives in our homes.
1. Information We Collect
Information you provide. Contact details (name, email, phone, date of birth); application and screening information (housing needs, income source and guaranteed-income verification, background questions, case manager or referring organization, references); residency records (agreements, move-in and move-out dates, maintenance requests, house notes and incidents, balances and payment records); accommodation requests and any health-related information you choose to share; emergency contacts; photos or testimonials you approve under a media release; and messages you send us.
Identity verification. At move-in we view your government-issued ID in person to confirm your identity. We do not collect, copy, scan, photograph, or store the ID or its number — our records show only that verification was completed.
Information collected automatically. When you use the website or portals we collect device and browser information, IP address, pages viewed, and sign-in events, using cookies and similar technologies limited to what is needed to operate, secure, and understand use of the Services.
Information from others. With your signed consent (a Release of Information), your case manager, referring organization, or sponsoring payer may share information with us to support your placement and housing.
2. How We Use Information
We use personal information to: operate our homes and provide housing; evaluate applications and make home and room placements; prepare, send, and store documents for electronic signature; maintain billing records and process payments where offered; send service communications such as account and password-reset emails, signature requests, payment reminders, maintenance updates, and safety notices; keep homes safe (common areas of our homes may have video-only cameras — never in bedrooms or bathrooms); improve and secure the Services; comply with law; and enforce our agreements.
3. How We Share Information
- Within Impact: with our affiliated property-owner companies and staff who need it to provide your housing.
- Referral partners and case managers: only as authorized by your signed Release of Information, which you may revoke at any time.
- Sponsoring payers: housing status and balance information as authorized by your consent and any sponsorship agreement.
- Service providers: companies that host our systems and database, deliver e-signatures, send email and text messages, and — where payments are offered — process payments. They may use your information only to provide services to us.
- Legal and safety: to comply with law or valid legal process, to protect the rights, safety, or property of residents, staff, or others, or in an emergency.
- Business transfers: if our business changes hands, information may transfer with it, protected under this Policy.
We never sell personal information, and we never share it for third-party advertising.
4. Sensitive Information
Impact is a housing provider, not a medical or treatment provider, and is not a HIPAA-covered entity. Any health-related information you choose to give us — for example, in an accommodation request or emergency form — is kept confidential, used only for the purpose you gave it, and shared only with your consent or as the law requires.
5. Security
We protect information with measures that include password-based sign-in with credentials stored only by our authentication provider (hashed, never in plain text and never in our own records), encryption in transit, role-based access so staff see only what their role requires, and activity logging. No system is completely secure, so please protect your password and the email account you use to sign in.
6. Retention
We keep application and residency records for the duration of your relationship with us and for the period needed afterward for legal, tax, safety, and record-keeping purposes, then delete or de-identify them. Media covered by a release is used until you revoke the release.
7. Your Choices and Rights
You may review and update your information in the portal at any time. You may request a copy, correction, or deletion of your personal information by emailing info@impacthousing.homes; we will honor requests except where we must keep records to meet legal, contractual, or safety obligations, and we will respond within a reasonable time. You can stop text messages by replying STOP and opt out of non-essential email at any time; we may still send messages required to administer your housing and account. We honor privacy rights provided by applicable state law.
8. Children
Our Services and housing are for adults 18 and older. We do not knowingly collect information from anyone under 18.
9. Changes to This Policy
We may update this Policy from time to time. We will post the updated version with a new effective date and notify account holders of material changes through the portal or by email.
